Understanding Workspace Settings

Workspace settings allow you to configure important privacy and collaboration options for your Business or Enterprise account. These settings help you maintain control over how your team members interact with Polycam and share their work.

Who Can Access: Only users with owner-level permissions can manage workspace settings in Polycam. If you need to modify settings but don't have owner access, contact your team owner.

Prerequisites

Before accessing workspace settings, review that you have the following:

  • Owner permissions: You must have owner-level access to your team account
  • Web access: Workspace settings can only be configured through the Polycam web platform
  • Active subscription: Your Business or Enterprise subscription must be active

How to Access Workspace Settings

1Log In to Your Polycam Account

Visit the Polycam website and sign in with your credentials. Ensure you're using the account with owner permissions for your team.

2Navigate to Your Team Workspace

Use the dropdown menu in the top left-hand corner to select and navigate to your team workspace.

3Open Admin Settings

Click the Settings dropdown, then select Admin Settings to view all available configuration options for your team.

Available Settings

Stop Members from Publishing to Explore

This privacy setting gives you control over whether team members can share their work to Polycam's public Explore community.

What This Setting Does

  • Prevents public sharing: Blocks all team members from publishing captures or albums to the public Explore gallery
  • Applies to all captures: The restriction applies to any content, regardless of whether the capture belongs to a team workspace or not
  • Ensures privacy: Guarantees that all team content remains private and accessible only to authorized team members
Enhanced Privacy: This setting is designed for organizations handling sensitive client projects, proprietary designs, or confidential work that must not be shared publicly.

When to Enable This Setting

Consider enabling this privacy control in the following situations:

  • Client confidentiality: When working with client projects that require strict privacy agreements
  • Proprietary work: For designs, prototypes, or intellectual property that must remain confidential
  • Security requirements: If your organization has data security policies that prohibit public sharing
  • Legal compliance: When regulatory requirements mandate control over public content distribution
Important: When this setting is enabled, team members cannot publish any captures or albums to Explore, ensuring all content remains private. This restriction applies even to content created outside the team workspace, as long as the user is a team member. Note that team members may not publish captures to Explore while capture and album privacy is also enabled.

Disable Personal Workspaces

Control whether users added to your organization have access to their personal Polycam workspace. This setting is available on Enterprise plans only.

What This Setting Does

  • Restricts personal access: When enabled, users added to the organization will not have access to their personal workspace
  • Organization-focused workflow: Keeps team members focused on shared team content rather than personal projects
  • Enterprise only: This setting is exclusively available to Enterprise plan subscribers
Enterprise Feature: Disabling personal workspaces is ideal for organizations that require all work to remain within the team environment, ensuring full visibility and control over content.

Make Team Captures and Albums Private Automatically

Control the default privacy of captures and albums created by your team members, ensuring new content is only visible to team members moving forward.

What This Setting Does

  • Automatic privacy: Captures and albums created by all team members will only be visible to team members by default
  • Applies going forward: This setting affects content created after it is enabled, not existing captures or albums
  • Team visibility: Ensures new content is immediately restricted to authorized team members only
Use Case: Enable automatic privacy when you want all new team captures to default to private. This is especially useful for organizations working with sensitive or confidential content on an ongoing basis.

Disable Comments

Manage commenting permissions on team captures to control collaboration and feedback workflows.

What This Setting Does

  • Comment control: Enables or disables the ability for team members to leave comments on captures
  • Collaboration management: Helps streamline feedback processes based on team preferences
  • Content focus: Reduces distractions when teams prefer other communication methods

Content Training for AI

Control whether Polycam may use your team's capture data to help train AI models aimed at improving 3D reconstruction accuracy and quality.

What This Setting Does

  • Data contribution: When enabled, Polycam may use your capture data for training AI models focused on improving 3D reconstruction accuracy and quality
  • Opt-out available: When disabled, your team's data will not be used for AI training purposes
Important: Please review the updated Terms of Service for full details on how capture data may be used when this setting is enabled.

Troubleshooting

Cannot Access Workspace Settings

If you're unable to access the Admin Settings page:

  1. Verify permissions: Confirm you have owner-level access to the team account
  2. Check subscription: Ensure your Business or Enterprise subscription is active
  3. Use web platform: Workspace settings are only available on Polycam web, not mobile apps
  4. Contact support: If issues persist, reach out to Polycam support for assistance

Settings Not Applying

If changes to workspace settings aren't taking effect:

  • Refresh the page after making changes
  • Ask team members to log out and back in to apply new settings
  • Clear browser cache and cookies, then try again
  • Verify the settings were saved successfully

Team Members Still Publishing to Explore

If team members can still publish despite the privacy setting being enabled:

  • Verify the "Stop Members from Publishing to Explore" toggle is enabled
  • Ask team members to refresh their Polycam session
  • Check that the users are properly assigned to the team
  • Contact Polycam support if the issue continues
