Understanding Sharing Options

Before sharing, it's helpful to understand the two visibility settings available in Polycam, as this will determine how you share and who can access your capture.

Only People Added

This option restricts access exclusively to users you specifically invite by email address or Polycam username. It is ideal for sensitive projects or private collaborations. Anyone not explicitly added will not be able to view the capture, even if they have the link. Recipients will need a Polycam account to access captures shared this way.

When inviting someone, you can assign one of two permission levels:

  • Editor: The recipient can view and make changes to the capture.
  • Viewer: The recipient can view the capture but cannot make any changes.
Note: If an unauthorized user tries to access a privately shared capture, they will see a "Something Went Wrong" page.

Anyone with the Link

This option grants access to anyone who has the direct URL. No Polycam account or specific permissions are required, making it ideal for showcasing your work publicly or sharing quickly with a large audience.

Important: Anyone who obtains the link will be able to view the capture. Avoid using this option for confidential or sensitive content. Free plan users can only share captures using this option.

How to Share a Capture

1Navigate to Your Capture Library

Open your capture library on your preferred platform:

  • On iOS or Android: Tap the folder icon on the bottom left-hand side of the navigation bar.
  • On Web: Click Library on the left-hand side of the page.

2Select a Capture

Choose the capture you want to share to open it.

3Open the Share Window

Click or tap the Share icon at the top right of the capture viewer to open the share window.

4Invite Someone or Copy the Link

Depending on how you want to share, do one of the following:

  • To share privately: Type the email address or Polycam username of the person you want to invite into the text field. Select their permission level — Editor or Viewer — from the drop-down, then click Send invite.
  • To share via link: Copy the capture link from the share window and send it to your recipient directly.

Managing Access After Sharing

Revoking Access

To remove access from a specific user, open the share window for the capture. You'll see a list of people who currently have access. Click the drop-down next to the person's name and select Remove to revoke their access. You can also use this same drop-down to switch someone between Editor and Viewer permissions at any time without needing to re-invite them.

Making a Capture Private Again

To restrict access to a capture you have previously shared publicly, open the share window and switch the visibility setting to Only People Added. This will immediately revoke access for anyone who previously had the link, and the capture will only be visible to users you have explicitly invited.

Sharing vs. Team Workspaces

For Business and Enterprise users, it's worth understanding the difference between sharing a capture and adding it to a team workspace:

  • Sharing a capture is best for giving specific individuals access to a single capture, whether inside or outside your organization.
  • Adding to a team workspace is better suited for making captures available to your entire team on an ongoing basis, without needing to manage individual permissions for each capture.
